This role will require you to be onsite 4 days a week.
What You Will Do
Manage day-to-day operations for the leader(s) you support, including expense reports, travel planning, phone messages, and calendar management.
Build strong relationships with leaders and colleagues, serving as the “face” of your executive(s) and reflecting professionalism, loyalty, and a positive attitude.
Create multi-city travel itineraries, considering time zones, weather delays, traffic, and fatigue levels.
Review your leader’s schedule to ensure time for thinking and travel between meetings. Prioritize meetings based on the day’s priorities, schedule conference rooms, meetings, and video chats, and adapt to emergencies and reschedule as needed.
Draft letters and emails on behalf of your leaders.
Act as the “casual buyer” for office supplies, managing purchase orders and vendor contracts.
Prepare regular reports and summaries, taking ownership of specific tasks.
Collaborate on projects by conducting research, writing, and fact-checking.
Use Disney internal software (e.g. SVAM) to submit access for engineers and Cast Members on ships, and confirm repairs with the Staff Captain. Ensure vendor details on the system are accurate, maintaining confidentiality at all times.
Book cabins for Cast Members on ships, providing all necessary details.
Required Qualifications & Skills
Significant experience supporting a Director or above
Excellent written and verbal communication skills
Ability to multitask and prioritize deadlines and deliverables
Mastery of Microsoft Office programs, with skills in SAP, SharePoint, and Concur
Calm and steady demeanour to handle unexpected situations
Confidence to learn new programs as needed
Complete reliability in handling confidential information
Desire to be genuinely helpful to leaders and colleagues, going the extra mile to build strong relationships
Flexibility in your schedule – while we value work/life balance, occasional extra time may be needed
Strong organizational skills and attention to detail
