How you will contribute to our magical experience?
The Finance and Operations team is an integral part of the Enterprise Sourcing team focused on setting the overarching Sourcing and Procurement strategy, monitoring functional and financial performance and overseeing enablement functions. The objectives of the team are to create vision, provide and maintain systems, tools, processes, and policy to enable one-source of truth, standardization, and consistency in Sourcing and Procurement service delivery. The Finance and Operations team supports the wider Sourcing team to maximize value as well as support key success drivers through governance.
The purpose of the Jr. Analyst, Contract Administration will be assist the Design and Construction Sourcing team with their contract administration.
The Jr. Analyst, Contract Administration will be responsible for:
- Review COI requirements of all new contracts and if requirements not covered by existing COI, request an additional COI.
- Maintain digital library of COI’s and regularly review for date expirations.
- Research supplier payment queries.
- Primary contract for payment / invoice related questions.
- Draft amendments for administrative changes such as supplier name, address etc.
- Draft change orders based on instructions from the project controls or sourcing team.
- Monitor Docusign completions to release supplier payments.
- Issue closure and rescission letters to suppliers.
- Enter and maintain contract record and relevant metadata in Coupa.
- Close out SAP PO’s / Change orders upon project completion.
- Approve requisition to dispatch funding purchase orders to supplier once all documentation is complete.
- Update COSMOS (Design and Construction Tracking System) with Coupa PO number.
- Track change orders and amendments.
- Identify fully executed agreements to approve funds for Coupa suppliers.
What we need from you to be part of this story:
- 1+ years of experience in similar roles.
- Advanced level of English.
- Required Education: Bachelor’s degree.
- Good communication skills.
- Self-starter with customer service skills .
- Attention to detail.
