The Operations Associate Coordinator supports salaried operational leadership by providing a wide range of administrative and project support, enabling leaders to spend more time in the field with Cast Members and Guests. In this role, you’ll coordinate day-to-day administrative tasks, clerical duties, and project support for Senior and Production Managers and their teams.
The Operations Associate Coordinator will report to the Manager-Costume Warehousing & Initiatives
This is a full-time role.
What You Will Do
Heavy project-based assignments (handling ad-hoc projects and reports within the neighborhood, preparing regular/weekly reports).
Event coordination and execution (lead multiple projects/events simultaneously, consolidating data needed for presentations, orchestrating communication for team, stakeholders, & partners, preparing and analyzing data, and completing local, neighborhood, and Resort events and initiatives).
Meeting coordination: schedules complex meetings, prepares agendas to support business needs/objectives, captures and tracks action items/deliverables, and completes follow-up as necessary with leaders/key partners to drive work to completion. (e.g. roll calls, round tables, weekly team meetings, partner meetings, other business meetings, etc.).
Optimize scheduling of commitments on leaders' calendars (be familiar with leaders' schedule(s) and adjust as needed to meet daily/weekly priorities).
Managing ad-hoc projects or reports requested/assigned by the supported operation leaders.
Process/manage team's purchase orders, vendor contracts as well as leadership's expense reports.
Prepares regular/weekly reports and business summaries for multiple (3-5) Production Managers. May include support of the General Manager (e.g. weekly update reports that go to Sr. site Executives as well as other weekly operational reports used by leadership.)
Handles confidential information responsibly and with integrity daily.
Exceptional relationship skills and anticipate the needs of the whole area/team.
Outstanding time management skills are needed to prioritize workload and complete work efficiently.
Manages/tracks team and Cast Member information to assist with Cast/Leader check-ins.
Supports all stages of the project lifecycle including Initiation, Planning, Execution, Control, and Closure.
Orchestrates communication and stakeholder engagement for projects to ensure individuals have the information required to complete deliverables.
Proactively keeps projects on schedule and communicates when timelines have been altered, moved ahead, or fallen behind.
Represent project team in meetings/on-site walks as necessary.
Uses problem-solving skills to remove barriers, improvise when necessary, and ensure project success.
Prepares and analyzes data. Conducts tracking as needed to support data collection/research.
Prepares documents, agendas, reports, and executive summaries that support meeting objectives.
Completes research and prepares materials for presentations, which may include the use of digital/technology solutions for visual presentations.
Drives events (e.g. birthdays, service anniversary recognition, lunch & learns, team building activities, etc.).
Ability to self-educate and seek out resources to advance the business and foster growth (learning new computer systems, software, technology, presentation skills, financial competence, etc.).
Review operating practices and implement improvements where necessary.
Engaging and connecting with peer groups to support the entire coordinator team.
Required Qualifications & Skills
Experience managing timelines
Experience with project management
Experience effectively communicating and collaborating (both verbally and in writing) with partners at all levels, both internal and external
Experience working in a team environment where collaboration is key
Experience in problem-solving and conflict resolution
Experience utilizing Microsoft Office Suite
Ability to be flexible with work schedule, including extended hours and holidays
Ability to work in a physically demanding role that requires lifting to 50 lbs. as well as frequent climbing, squatting, and standing for long durations of time
Preferred Qualifications
Experience working at The Walt Disney Company understanding policies, procedures, organizational structure, and nomenclature
Experience organizing events and volunteer opportunities
Experience utilizing Smartsheet
Multilingual
Education
High School diploma or equivalent is required
Advanced degree in Communications, Costuming, Costume Design, Textiles, Theater, Fashion Merchandising, Fashion Design, Fine Arts, or related field is preferred

The hiring range for this position in Anaheim, CA is $48,500 - $65,000 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
